Question: How do I configure Outlook Exchange?

Answer:
Before you begin, make sure you have the following;
- You have an Exchange mailbox number and password
- You have received from Redalto an outlook configuration file for your mailbox number
- You are using Outlook 2003

There are 4 steps to configuring Exchange in your Outlook
1. Backup your existing data
2. Create a new Outlook Profile
3. Configure Outlook to connect to the Exchange Server (using PRF file)

4. Import your old Outlook data into your Exchange account
STEP 1: Make a Back-up of your existing Outlook data to a PST file
If this is the first time you are using Outlook, proceed directly to step 3.
If you are an existing user of Outlook then you will want to copy your existing data to an external PST file, in preparation for you to import back into your 'Exchange' profile in Outlook.
| Open your existing Outlook client and select: File > New > Outlook Data File |

Select create a new .PST file. |

Select an appropriate location to save your .PST file to. Make sure you can remember where you've saved your file. Then click OK. |

In the next Window simply leave the default encryption option selected and click OK. |

You'll now see a new Personal Folder in your Mail Folders structure. You can now copy your Inbox, Calendar, and Contacts into the new personal folder. To do this, in Folder List view, simply right click and select 'Copy Inbox' or 'Copy Calendar', etc. |

| Then select the Personal Folder to which you want to copy the file to. |

STEP 2: Create a New Outlook Profile
If this is the first time you are using Outlook, proceed directly to step 3.
This step is required to ensure you separate your existing Outlook profile from the new Exchange profile you will create, and thereby protect any existing mail settings. Once you've setup the 'Exchange' profile you can then define whether to 'Always use this profile' or be prompted for the profile.

Then click Add to define a new profile |

You will now be prompted to define a unique Profile Name for your profile. Make sure you use a name by which you can easily identify your Exchange account in future. Click OK to finish this step. |

You will now be prompted to Add or View existing email accounts. Ignore this step and simply click Close. |

You will receive a warning message. Select OK to proceed. |

Important: Once back in the Mail tool box, select the new profile you have created and tick 'Always use this profile'. If you do not do this, the PRF file will configure your new exchange account in the legacy mail profile. |

Step 3: Configure Outlook to connect to the Exchange Server
In this step, the PRF file automatically configures the setting of your Outlook 2003 client with the Exhange server. (Note: if you prefer to Manually configure your Outlook to connect to Exchange view this support note )
Make sure Outlook is closed. Then using Windows Explorer find the location of the PRF file that was emailed to you. Double click the file and select Yes when a dialogue box appears. |

After the first login, every time you log in the details will be already completed for you, or you will see your full email address. However, you will always need to enter a password. For security reasons this cannot be stored in memory. Once you've logged in, your Exchange account is fully operational. You should now be able to send/receive messages as well as view your contacts, calendar, tasks, etc. |
Step 4: Import your old Outlook data into your new Exchange account
If this is the first time you are using Outlook, this step is not relevant to you.
If you completed Step 1, then you are now ready to import your PST file back into your Exchange mail box.
| After you've logged in Outlook and succesfully connected to the Exchange server, select File > Open > Outlook Data File |

Then select the .PST file from the location you saved it to. Click OK when you've selected the PST file. |

Your saved .PST file will appear beneath your existing mailbox items in ‘Personal Folders’. You can now copy or drag and drop items from these Personal Folders into your Managed Exchange Inbox, Sent Items, Contact and Calendar. |
